By now, you’ve started shaping your TogetherTuesday idea, set goals for what you want to accomplish, and gathered people to help bring it to life.
Now, with six weeks to go before June 23, it’s time to organize your resources and create a simple plan that will help everything run smoothly.
This is the stage where ideas start to come together and where the right tools can save you time, reduce stress, and help you connect with your community.
Take Stock of What You Already Have
Before adding more to your plate, take a moment to look at what’s already available to you. Many TogetherTuesday projects can be done with a small budget, especially when people contribute their existing skills, tools, and resources.
Think about:
- Volunteers and community connections you already have
- Free shared spaces, like community centers
- Supplies that can be donated
- Existing social accounts or email lists
- People with skills in design, outreach, organizing, or photography
- Free digital tools that can help keep things organized
When listing what you need, being specific helps. “Someone who can design a flyer” is easier to identify than “someone to help with marketing.”
Create a Simple Plan
You don’t need a complicated system to stay organized. A shared checklist, group chat, or basic timeline can help everyone stay aligned as June 23 approaches.
Tools like Asana can help organize tasks, timelines, and volunteer responsibilities in one place, especially if multiple people are helping plan your TogetherTuesday activation. Even a shared Google Doc or spreadsheet can go a long way in keeping everyone on the same page.
Start by outlining:
- Key dates and deadlines
- Volunteer responsibilities
- Materials or supplies you still need
- Communication plans for participants and supporters
Even small steps now can make the day itself feel much more manageable.
Favorite Tools From the TogetherTuesday Community
Need help getting organized? Here are a few favorite tools recommended by the TogetherTuesday U.S. Communities Team and how they use them while planning campaigns and projects.
Mailchimp — Recommended by Victoria Leonhardt, Director, Communities, US + Canada Hub
“Email is one of the easiest ways to keep your community informed and engaged leading up to an event or activation. Mailchimp helps organize communications in one place so you can send reminders, updates, and thank-you messages without feeling overwhelmed.”
Canva — Recommended by Shreyaa Venkat, Partnerships Manager, US + Canada Hub
“Canva makes it easy to quickly create polished graphics without needing a design background. I use it for everything from social media posts to volunteer graphics and presentation materials. Starting with templates saves a lot of time, especially when you’re balancing multiple priorities.”
Asana — Recommended by Max Levites, Project Manager, Communities, US + Canada Hub
“Asana is helpful for breaking down projects into manageable steps. It’s especially useful when multiple people are involved because everyone can clearly see timelines, responsibilities, and what still needs to get done.”
WhatsApp — Recommended by Staci Bruce, Networks & Partnership Associate, US + Canada Hub
“WhatsApp helps keep communication quick and accessible, especially for volunteers or community groups. Group chats make it easy to share updates, coordinate logistics, and stay connected in real time leading up to TogetherTuesday.”
Keep It Simple
TogetherTuesday isn’t about creating a perfect event. It’s about helping people come together in meaningful ways.
Focus on using the resources you already have, staying organized, and creating space for your community to participate. Small actions, planned thoughtfully, can go a long way.
